About The VIP Seat
The VIP Seat is a weekly private-aviation show covering industry news, market trends, and long-form interviews with the operators, financiers, and executives shaping business aviation. We publish across Apple Podcasts, Spotify, and YouTube, and we work directly with aircraft manufacturers, brokers, and service providers as guests and sponsors.
We are small, fast, editorially serious, and fully distributed.
The role
You will own the operational side of a weekly video podcast and additional media offshoots of the show: getting the right guests booked, making sure every recording is set up and looks good, and turning finished episodes into clips and promotion that actually reach people. You will also coordinate sponsor and partner meetings so commercial conversations keep moving.
The co-hosts retain editorial direction, on-air work, and final cut approval. Your job is to make everything around that run smoothly, and contribute creative ideas and angles to enhance show quality and viewer interest.
What you’ll do
Guest coordination
- Manage the guest pipeline end to end: outreach, scheduling, confirmations, rescheduling, and reminders
- Prepare pre-interview briefs — background research, recent news, suggested question angles
- Handle guest logistics: calendar invites, recording links, tech checks, travel details for in-person shoots
- Own the production calendar and keep the weekly publishing cadence on schedule
Remote recording setup and session management
- Own the remote recording stack (Riverside is our backend): set up sessions, test links, and troubleshoot live
- Coach guests through their own setup before recording — camera framing, lighting, mic placement, backup audio
- Run the session: monitor levels and framing, flag problems in the moment, confirm all local track uploads complete before anyone leaves the call
- Handle camera, lighting, and audio for the occasional in-person or conference shoot
- Organize and archive raw footage and audio in cloud storage with consistent file naming
Clipping and promotion
- Cut short-form vertical clips (30–90 seconds) from each episode for Instagram, TikTok, YouTube Shorts, and LinkedIn
- Write captions, hooks, and episode descriptions optimized for discovery
- Schedule and publish social content and weekly companion newsletter; track which clips perform and report back
Sponsor and partner coordination
- Schedule and confirm sponsor, advertiser, and partner meetings
- Maintain an organized record of conversations, follow-ups, and deliverable commitments
- Assemble sponsor-facing materials such as audience one-sheets and post-campaign recaps
What we’re looking for
Required
- 1–3 years in podcast, video, or broadcast production or demonstrably equivalent independent work
- Genuinely strong coordination instincts: you follow up without being reminded, and nothing falls through
- Familiarity with camera and audio gear for interview-format shoots
- Working proficiency in Premiere Pro, DaVinci Resolve, or Final Cut, plus short-form editing platforms such as Opus Clips, CapCut, Edits or similar
- Clear, professional written communication; you will be emailing C-suite executives on our behalf
- Reliable availability for a weekly recording and publishing rhythm
Nice to have
- Interest in or knowledge of aviation, private jets, or aviation finance (we will teach the industry but ideal candidates will be genuinely curious about airplanes!)
- Experience booking senior executives or industry figures as guests
- Familiarity with podcast hosting platforms, YouTube Studio, and analytics
- Motion graphics, thumbnail design, or animated caption work
- Experience supporting sponsorship or brand-partnership workflows
How we’ll work together
- Fully remote and async-first. We care about outcomes, not hours logged at a desk.
- One weekly planning sync to set the production calendar and clip priorities
- Because the team is spread across three states, written follow-through matters more here than it would in an office. Decisions and guest details need to live somewhere findable, not in someone’s memory.
- Core hours overlap with US Eastern business hours for guest scheduling; the rest of your schedule is yours to structure.
What success looks like
By 30 days — You have taken over the production calendar and remote recording setup. Episodes ship without the host chasing logistics.
By 90 days — Guest pipeline is booked four or more episodes ahead. Three or more clips published per episode, consistently. Sponsor meetings are scheduled and followed up without host involvement.
By six months — You own the operational rhythm of the show end to end, and we are talking about what you want to grow into next: editorial input, a second format, or bringing on help beneath you.
