We are seeking an experienced, highly organized Operations Manager to oversee inventory management, inventory control, order fulfillment, logistics, quality control, and wholesale operations across the business.
This is a hands-on, on-site individual-contributor role with no direct reports. The Operations Manager will work closely with production, sales, design, accounting, vendors, and wholesale partners to ensure inventory is accurate, orders move smoothly, and every piece is handled with the care and precision expected of a luxury fine jewelry brand.
The ideal candidate is proactive, systems-oriented, exceptionally detail-focused, and comfortable managing multiple priorities in a small, entrepreneurial business.
What You’ll Own
- Maintain accurate, real-time inventory records across Odoo, Shopify, and supporting systems, including raw materials, finished jewelry, packaging, production orders, purchase orders, transfers, returns, and consignment inventory.
- Receive incoming materials and finished pieces, verify quantities and documentation, photograph all incoming and outgoing jewelry, and ensure each item is properly recorded and traceable.
- Coordinate quarterly physical inventory counts, investigate discrepancies, and prepare monthly inventory valuation and related operational reports in partnership with accounting.
- Manage direct-to-consumer and wholesale order fulfillment from receipt through delivery, including careful packaging, domestic and international shipping, courier coordination, customs documentation, repairs, returns, and RMAs.
- Perform quality-control checks on incoming materials and finished pieces, escalating and coordinating the resolution of any issues with vendors, production partners, or internal teams.
- Partner with production, vendors, sales, and wholesale accounts to communicate product availability, order status, shipment timing, and operational issues.
- Support wholesale operations, including order-data templates, shipping portals, product-availability requests, account-specific requirements, and domestic and international shipments.
- Serve as the primary operations liaison to the accounting team by providing accurate inventory, production, shipment, vendor, and wholesale documentation. This role interfaces with accounting but does not own bookkeeping or accounting functions.
- Monitor shipping and operational costs and identify opportunities to improve workflows, reporting, accuracy, and efficiency without compromising the client experience.
- Maintain organized shipping, inventory, packaging, and storage areas and ensure essential operational and office supplies remain stocked.
- Document and improve standard operating procedures, internal controls, and best practices across inventory, fulfillment, logistics, and reporting.
What You’ll Bring
- A minimum of three to five years of experience in operations, inventory management, logistics, order fulfillment, production coordination, or a related field.
- Experience in fine jewelry, luxury goods, fashion, accessories, or another high-value product environment strongly preferred.
- Experience using Odoo or a comparable ERP or inventory-management system; Shopify experience strongly preferred.
- Demonstrated experience with receiving, inventory counts, inventory reconciliation, order fulfillment, and domestic and international shipping.
- Familiarity with customs documentation, wholesale shipping requirements, RMAs, and shipping portals such as ACE or VEX is a plus.
- Strong spreadsheet, reporting, organizational, and written communication skills.
- Exceptional attention to detail and confidence handling valuable, one-of-a-kind, and client-owned merchandise.
- Sound judgment, discretion, accountability, and a proactive approach to problem-solving.
- The ability to prioritize competing deadlines, follow through on open items, and work independently.
- A polished, service-oriented approach consistent with a luxury brand and client experience.
- The ability to work on-site in Los Angeles five days per week.
Compensation and Benefits
The salary range for this position is $65,000–$85,000, depending on experience and qualifications.
